Atomic Capital Minerals is a Houston-based investment firm that acquires oil and gas mineral interests directly from landowners across the US. We are currently seeking an organized and proactive Administrative Assistant to join our team.
Successful candidates will have previous administrative experience, interpersonal skills and the ability to manage multiple tasks with good attention to detail.
This role will be primarily assisting the in-house Land Department, previous oil and gas experience is not required
Responsibilities & Requirements:
Strong administrative skills including but not limited to Microsoft Office, Adobe, document scanning, data entry, company calendaring, cloud-based file management, operation of phones, organization skills, etc.
Strong verbal and written communication skills
Complete general day to day office administrative duties including but not limited to answering phones, maintaining inventory of office supplies, checking the mail, upload company invoices, depositing checks, coordinate courier services as needed and occasional office errands
Work well with other team members to ensure the office areas are kept clean, organized, and functional at all times
Create cloud-based files and upload necessary documents to various folders
Coordinate communication with the parties involved in the closing process – Seller, Land Services, Attorneys and request additional information as needed
Keep members of the team updated on the closing process with proactive communication skills such as coordinating with upper management about high priority updates and maintaining company database with up-to-date status notes
Make inquiries to Operators to request information regarding various account details
Prepare executed deeds and other important documents to be recorded with county courthouses
Prepare, proofread, and send out all approved document packages via company FedEx account to appropriate parties
Prepare, draft, and modify other various documents
Any other tasks, as required or needed
Qualifications:
Prior administrative support experience – minimum 2+ years
Proficiency in MS Word, MS Excel, and MS Outlook is required
Strong communication skills both verbal and written
Strong research skills
Strong critical thinking, logical reasoning, and problem-solving skills
Ability to prioritize projects
Strong attention to detail
