Key Perfomance Objectives

Support the immigration process for expatriates and intercompany transfer transfer from other regions. Attend weekly calls with the immigration attorney, print immigration documents, obtain the appropriate signatures, and mail documents to the immigration attorney.

Process invoicing within the Human Resources Department that includes the creating purchase orders, GR'ing invoices, submitting invoices to the Accounts Payable Department for payment, communicating with AP on the status of payments, and break down invoices from various benefits providers for the processing of payments.

Submit weekly, monthly, and quarterly reporting to support both the US and Region Americas teams.

Conduct employee change activities for new-hires that includes entering the required manual data in the Dayforce Human Resources Information System (HRIS) and create/maintain electronic employee files for new hires and terminations.

Support the recruitment of new employees by scheduling interviews between the hiring managers and candidates.

Respond to the US-EPA Audits. Send audit questionnaires to eight countries in Region Americas, review their hiring activity, ensure that SAM Checks and Code of Conduct Onboardings were properly conducted, contact local HR in each for any discrepancies, and prepare the material for submittal to the Global Compliance Department.

Administer the employee recognition program and service awards that includes ordering plaques and ensuring anniversaries are proactively handled.

Perform various projects such as review short employee biographies (Kubis) of senior leaders for accuracy and run reports for employee headcount, email distribution lists, and birthdays.

Required Experience

5+ years administrative background that includes supporting a Human Resources Department.

Experience with running reports using different systems, reviewing invoices for accuracy, familiarity with the purchase order process, and resolving invoice concerns between vendors and the Accounts Payable Department.

Experience with Human Resources Information Systems (HRIS) for data entry and running reports

Strong interpersonal skills for contacting candidates for interviews and working in a diverse company with many nationalities

Detail-oriented with an excellent ability to be organized and prioritize the most important day-to-day activities.
