Summary:
The Office Administrator provides a high level of support to all departments and ensures that the Houston corporate office functions efficiently daily. This position will appeal to a high performing, customer orientated individual who loves to juggle a variety of tasks in a fast paced, high energy environment. The position is based in the Houston corporate office and reports to the Chief Operations Officer.
Schedule:

  • This position holds normal business hours, with little to no travel expected
  • We support a hybrid work environment consisting of flexible remote and in-person collaboration at Houston offices

Duties & Responsibilities:

  • Answer phones for corporate office (all locations) and greet visitors
  • Monitor centralized phones, direct calls, and provide direction for inbound inquiries
  • Schedule appointments and maintain calendars for organizational leaders
  • Schedule and coordinate staff and other meetings
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Managing office inventory and working with vendors to ensure the regular supply of office and promotional materials
  • Operating and maintaining office equipment including printers, copiers, fax machines, conference room equipment
  • Planning, and accomplishing the organization’s activities and events throughout the year such as employee centric events, holiday parties, and volunteering events for select locations
  • Ordering and delivery of new employee uniforms and IT equipment for select company locations, i.e Verizon phones & tablets
  • Ship promotional materials to locations based on upcoming events, i.e Recruiting, Sales
  • Ad hoc onboarding of employees based on business needs for large projects
  • Setup and coordination of accommodations for employees in need of housing for field-based assignments
  • New hire orientation setup and coordination with new employees, including welcome letters with detailed first day assignment information
  • Coordination of employee roster for active/inactive employees with transactional departments, i.e Payroll reviews & audits of hourly time tickets
  • Handle administrative duties involving third party trucking contractor management processes
  • Prepare documents, spreadsheets and presentations as needed
  • Support completion of customs paperwork for all cross-border shipments on an as-needed basis
  • Occasional support for logistics data collection & analysis

Requirements:

  • 5 years of dynamic administrative experience
  • University degree or college diploma, Business Administration or Administrative Office Assistant preferred in lieu of some experience
  • Notary public designation would be an advantage
  • Advanced skills in MS365 Outlook, Excel, Word and PowerPoint
  • Prior experience with PowerBI, excel reporting functions (pivot tables, VLOOKUP, etc.) would be an advantage
  • Excellent communication skills both verbally and in writing, and demonstrates strong attention to detail
  • Self motivated and works without immediate day-to-day supervision
  • Ability to work cross-functionally on a variety of projects under pressure and with tight deadlines
