The Sales Administrator is responsible for supporting the sales team and providing an important link between the salesperson and the customer. This position is also responsible for processing all sales-related paperwork and arranging appointments for salespeople to visit new and established customers.

Essential Functions & Responsibilities:

  • Record and input sales releases, reservations, master-moves, cancellations, exchanges, handovers, and legal completions on the sales information system.
  • Enter customer details/choices and produce/post relevant letters and statements
  • Produce and/or amend standard forms for use onsite and in the office to assist the sales team
  • Receive telephone inquiries from prospective customers regarding both forthcoming and existing sites and creating a database for future use
  • Perform administrative and clerical support tasks
  • Create reports for the sales force regarding market conditions, sales results, and team earnings
  • Perform other related duties as required and assigned
  • Assist Sales in collecting documents for AIA contracts from GC’s
  • Tracking / ensuring Change Orders are correctly put in AQ and Number sequentially. (The sales guys seem to have a problem with this) this goes with the Processing Change orders below, but it often involves the Sales Guy ‘calling’ in the change order …
  • Updating Quote if requested
  • Making sure drawings are printed and ready for installers at onset of job, if needed.
  • Work with Project Manager, Estimator and Sales to verify accuracy of contract to most current quote and plans available.
  • Review all contracts and ensure all required documents and instructions comply to prevent payment delays at the end of the project.
  • Processing change orders as the project proceeds and mitigating costs by recognizing possible substitutions.
  • Notifying sales, project manager and/or the customer immediately of delays caused by others.
  • Participate in a weekly meeting to update the team of project status. Be able to supply answers to specific questions on each project in your area of responsibility.

Education & Experience:

  • Associates degree in related field
  • 2+ years’ experience in Sales Administration or in a related area
  • Proficient computer skills including MS Office (Word, Excel, Outlook)

Pay: Up to $55,000.00 per year
