Executive Assistant to the Head of School Performance Profile

Position Summary:
The Executive Assistant to the Head of School is a benefits eligible, full-time 12-month position that reports to the Head of School. This position provides consistent, confidential, and professional administrative support for the Head of School. The Executive Assistant to the Head of School plays an integral role in in coordinating the Office of the Head of School with the faculty and staff, the parent and student bodies, and the Board of Trustees. This position also serves as the primary human resource liaison and works closely with the business office and hiring managers in this role. The ideal candidate will have strong administrative and Human Resources Management skills.

Responsibilities include the following:

HOS Support

  • Organize and review daily priorities for the Head of School.
  • Schedule, maintain, and confirm the head of school’s appointments and calendar activities.
  • Manage all arrangements for Head of School events like the occasional All Staff Meetings and the monthly Board of Trustee meetings.
  • Assist the Head of School with work and events related to the board of trustees.
  • Manage the board portal, soliciting, uploading, and formatting monthly reports and managing the board and committee meeting calendar.
  • Reports, minutes, electronic documenting, historical records, etc.
  • Schedule Middle School Counseling Meetings for Fifth Grade Parents.
  • To assume responsibility for special research and other projects for the Head of School.
  • Screen the head of school’s phone calls and take messages.
  • Make travel arrangements for the Head of School.
  • Manage expenses for the head of school’s budget.
  • Provide general clerical duties and administrative support to the school.
  • Complete occasional errands.
  • Assume responsibility for other projects as assigned by the Head of School.

Human Resources Management

  • Maintain personnel records and serve in the capacity of HR administration in coordination with the Assistant Head of School for Finance and Operations.
  • Manage the recruitment and onboarding process for new hires.
  • Obtain background checks on new hires and returning staff as necessary and maintain security clearance compliance records.

General

  • Promote the school’s vision, mission, and strategic plan, making them the center of all decisions and actions.
  • Support an atmosphere of trust and openness among teachers, students, and parents.
  • Prepare and manage the school calendar and other scheduled events.
  • Assist in planning campus-wide events.
  • Serve on ad hoc school committees as required.
  • Compile information, formatting reports, graphs, tables, records, and presentations.

Qualifications:

  • Bachelor’s degree with experience in Human Resources.
  • 5+ years' prior experience in education or as an executive assistant to a high-level school administrator or corporate executive.
  • Experience with ADP preferred.
  • Commissioned Notary preferred.
  • Familiarity with shorthand a plus.
  • Outstanding interpersonal skills.
  • Dedication to an elevated level of confidentiality.
  • Exceptionally capable in both written and oral communication.
  • Excellent organizational skills while still exhibiting a high degree of flexibility.
  • Technologically savvy.
  • Proven success at working collaboratively and efficiently on a creative and goal-oriented team.
  • Able to make quick decisions, take initiative, and prioritize tasks.
  • Warm and personable with a good sense of humor and considerable patience.
  • High-energy and enthusiastic about working in an academic atmosphere.
